The sensible small print

Privacy & cookies.

We use your information to answer enquiries, arrange gigs and run this website. You can switch off the basic website counts below.

Your analytics choice

We count visits to public pages, social campaign links and campaign booking buttons to see which parts of the site are useful. These are aggregate counts, not individual visitor profiles.

Basic page and campaign counts are on in this browser.

Switching counts off saves a preference cookie for 180 days in this browser. It contains only the word “off”, not a personal identifier. Clearing cookies removes that choice. We also honour Do Not Track and Global Privacy Control browser signals. The site and booking form work either way.

Who is responsible?

I'm Craig L Hedley, the musician behind CH Unplugged. I'm responsible for how personal information is handled through this website and its booking records (the data controller). For privacy questions or requests about your information, email info@chunplugged.co.uk.

What happens when you visit?

Cloudflare hosts and protects the site. It processes connection information, including IP addresses and security signals, to deliver pages, prevent abuse and check booking submissions through Turnstile. Necessary security cookies may be used for those purposes. Staff sign-in also uses Cloudflare Access.

Our server sends Metricool a public page name or a social network and campaign label for the counts described above. It does not forward your IP address, browser details, full address bar, referring page, email address or booking answers. Metricool receives the server’s connection and combines the counts in its reports. Counts are not sent from staff pages or private records.

There is no browser analytics script, advertising pixel or analytics storage on this site. The analytics choice applies to both ordinary pages and campaign links. It does not affect necessary hosting and security processing or remove counts that have already been combined in reports.

Booking enquiries and correspondence

The booking form asks for your name, email address, event details, optional phone number and any notes you choose to add. We need contact and event details to respond and arrange a booking. Please leave out information that is not relevant, including sensitive personal details. The form holds your answers in page memory while you move between steps, without saving them in browser storage.

Enquiries are saved in Cloudflare and emailed through Resend to CH Unplugged, with an acknowledgement to you. Our private Backstage system holds enquiry details, quotations, staff notes, correspondence, confirmed bookings, invoices and recorded payment information. It does not collect payment card details.

Incoming messages forwarded to Backstage may be linked to the right enquiry when a reply’s sender and email thread can be verified. Other messages wait for staff review. Linked message text becomes part of the enquiry history. The original message may also remain with our mail providers.

If you follow a social campaign link, its social network and campaign label can travel with your enquiry. They identify the campaign, not you as a returning visitor. Switching website counts off does not remove details you choose to submit with an enquiry.

Why we use this information

We use details needed to respond to your booking request or deliver an agreed booking to take steps towards a contract or fulfil that contract. For a venue’s staff or another organiser acting on someone else’s behalf, our legitimate interest is handling the enquiry and arranging the event.

We rely on our legitimate interests to keep the site secure, manage correspondence, resolve problems and understand which public pages and campaigns are useful. You can object to that processing, and can stop the optional counts immediately using the choice above.

Backstage is used to organise enquiries, bookings and payments, not as a permanent accounting archive. Any records needed outside that system are managed separately. We do not use this website’s data for automated decisions with legal or similarly significant effects, or sell personal information.

Services we use

  • Cloudflare: website hosting, database storage, security and staff access.
  • Resend: sending enquiries, quotations, confirmations and invoices, and receiving mail for Backstage.
  • Apple iCloud Mail: our email inbox and correspondence.
  • Google Calendar and Apps Script: availability, provisional holds and agreed event details.
  • Metricool: aggregate public page and campaign counts, sent by our server.

Information may also be shared with advisers or authorities where needed for accounting, a dispute or a legal requirement. Public gig listings contain event information, not private booking notes.

Some providers operate outside the UK. Their published information describes processing locations and transfer arrangements: Cloudflare’s data terms, Resend’s data terms, Apple’s privacy information, Google’s privacy information and Metricool’s terms. Cloudflare and Resend’s published terms include contractual safeguards for international transfers. Contact us for details of the arrangements relevant to your information.

Fonts are hosted on this site. The public gig list loads through our own endpoint. Social media links open outside services only when you choose to follow them; those services then apply their own privacy terms.

How long we keep information

Temporary booking-form submissions and queued email copies are automatically removed after 30 days. The separate Backstage enquiry and booking history is not removed by that cleanup. Archiving an enquiry only takes it out of the active list; it does not erase it.

We automatically delete eligible archived enquiries after these periods without activity:

  • Spam enquiries: 7 days.
  • New enquiries, enquiries under review and declined enquiries: 90 days.
  • Enquiries where a quote was sent: 180 days.

These shorter periods run from the last activity, with safeguards for currently active operations. Historical enquiry data has an absolute maximum of 18 months from its original receipt in Backstage D1 storage, regardless of subsequent notes or status changes. Deletion includes linked notes, quotes and correspondence held in Backstage. You can ask us to review or erase your information sooner.

Confirmed future bookings stay operational until the event occurs. Completed or cancelled bookings and their linked invoices, payments, agreements and correspondence are normally removed from Backstage after 12 months, and historical copies are not retained there longer than 18 months after the performance or cancellation. Active staff accounts remain while authorised; historical staff activity expires separately. Email providers, calendar entries and short-term encrypted backups have their own lifecycles, and copies outside D1 are addressed as part of a deletion request within those services’ technical limits.

The analytics preference lasts 180 days. Website statistics are aggregate counts rather than a history attached to you.

Your rights

Depending on the circumstances, you can ask for access, correction, erasure, restriction or a portable copy of your personal information. You can also object to processing based on legitimate interests. Email info@chunplugged.co.uk and tell us what you need. We may need enough information to verify that the request concerns your records.

If a legal obligation or another valid reason means we need to keep something, we will explain what is retained and why. A privacy request does not require you to agree to analytics.

You can complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

Updates

We will update this notice when our handling of information changes.
